Refund Policy

This Refund Policy applies to all purchases of Atomos Essential Notes (EN) and related services offered by Atomos Education Pvt Ltd ("Atomos", "we", "us", or "our"). By placing an order, you acknowledge and agree to the terms set out below.

Given the fully customized, made-to-order nature of our products, our refund policy reflects the costs and resources invested at each stage of production.

1. Nature of the Product

Atomos Essential Notes are bespoke, made-to-order products. Each unit is individually customized with the client's institute name, contact information, logo or watermark, cover page design, and other personalized elements. Once the customization process commences, the material cannot be repurposed or resold to another party. Accordingly, the refund rights are strictly limited as described below.

2. No Refund After Customization Approval

Atomos operates a strict no-refund policy once the Client has granted customization approval. By approving the digital proof or sample:

• The Client confirms that all customization details — including header text, watermark, cover page, and content — are correct and as required;
• Atomos will immediately proceed to full production based on the approved proof;
• All advance payments made at that point are non-refundable;
• No cancellation of the Order shall be accepted after approval is granted.

3. Pre-Approval Cancellation

A Client may cancel an Order before granting customization approval, subject to the following:

• If cancelled before any customization work has commenced, a full refund of the advance payment will be processed within seven (7) working days;
• If cancelled after customization work has commenced but before approval is granted, Atomos reserves the right to deduct reasonable costs already incurred (digital preparation, design work, artwork creation, etc.) from the advance amount before issuing a refund;
• Cancellation requests must be submitted in writing to atomoseducation@gmail.com with the Order number clearly stated.

4. Defective or Incorrect Orders

If the delivered product contains a defect or error attributable solely to Atomos (i.e., a material deviation from the approved proof), Atomos will, at its sole discretion, offer one of the following remedies:

• Reprinting and replacement of the defective quantity at no additional cost; or
• A partial or full refund of the amount corresponding to the defective portion of the Order.

Claims for defective orders must be raised within seven (7) days of delivery with photographic evidence. Claims raised after this period will not be entertained.

5. Non-Refundable Circumstances

Refunds will not be issued under the following circumstances:

• The Client approved the digital proof and the delivered material matches the approved proof;
• Errors in the final product resulted from incorrect information, logo, or instructions provided by the Client;
• The Client changes their mind about the customization, design, or content after approval;
• Dissatisfaction with content that was accurately reproduced as per the approved proof;
• Delivery delays caused by incorrect or incomplete delivery address information provided by the Client;
• Damage caused during transit where the Client has accepted delivery without noting the damage at the time of receipt;
• Expiry or inaccessibility of Atomos Connect (QR code) web applets after the stated twelve (12) month validity period.

6. Atomos Connect — No Refund for Expired Applets

Atomos Connect web applets embedded via QR codes in certain Atomos EN editions are provided for a fixed validity of twelve (12) months from the date of dispatch. No refund or compensation shall be issued upon expiry of this period or in the event of temporary inaccessibility due to maintenance, technical issues, or internet outages.

7. Refund Process

Where a refund is approved by Atomos:

• The refund will be processed to the original payment method or via bank transfer, as mutually agreed;
• Processing time is seven (7) to fourteen (14) working days from the date of approval;
• Atomos is not responsible for delays caused by payment processors or financial institutions.

8. Minimum Order Quantity

For reference, Atomos's minimum order quantity policy is as follows:

• A minimum of 25 sets per product is required to place a new customized order. Orders below this threshold will not be accepted and no advance payment shall be collected;
• For repeat orders of the same product within the same academic year, quantities below 25 sets may be accepted at Atomos's discretion. The standard refund and cancellation terms of this Policy apply equally to such orders.

9. What the Price Covers

The Order price quoted by Atomos includes customization, printing, designing, and finishing charges. It does not include transportation charges, which are borne by the Client separately. Refund calculations under this Policy apply to the product price only; transportation charges paid to logistics providers are non-refundable through Atomos.

10. Payment Schedule Reminder

As a reminder of our standard payment terms:

• 60% advance is required to confirm an Order and commence production;
• 40% balance is payable at the time of dispatch before goods are released.

11. Dispute Resolution

Any disputes relating to refund claims that cannot be resolved through good-faith communication shall be subject to the exclusive jurisdiction of courts in Nashik, Maharashtra, India, in accordance with applicable Indian law.

12. Changes to This Policy

Atomos reserves the right to amend this Refund Policy at any time. Changes will be published on atomosen.in. Orders already placed will be subject to the policy in effect at the time of Order placement.
